ROLE SUMMARY
Heavy Hitters (Mammoth Distribution) is seeking a detail-oriented, resourceful, and proactive Operations Coordinator to join our Expansion Operations team. Based in our California facility and working directly alongside our Expansion Operations Manager, this role is vital in supporting multi-state expansion activities through administrative coordination, data tracking, and interdepartmental communication. The ideal candidate thrives in a fast-paced environment, enjoys solving operational puzzles, and can juggle multiple projects with precision and efficiency.

WHAT YOU’VE DONE (Qualifications)
- 1–3 years in an operations, administrative, or project coordinator role (Cannabis experience a plus)
- Strong familiarity with Google Workspace (Docs, Sheets, Slides) and Microsoft Office
- Proven track record managing documentation, calendars, and task lists
- Comfortable learning new tools and platforms (e.g., project management, compliance software)
- Demonstrated ability to take initiative and work independently while staying aligned with team goals
- Bachelor’s degree preferred (not required)
WHAT YOU’LL BE DOING (Key Responsibilities)
- Support the Expansion Operations Manager with day-to-day administrative and operational tasks
- Help track project timelines, deliverables, vendor communications, and expansion activities
- Maintain and update internal databases, SOPs, production schedules, and license records
- Coordinate cross-functional communications across departments (sales, compliance, marketing, production)
- Assist in onboarding new co-manufacturers, suppliers, and partners in new markets
- Document and track regulatory requirements and ensure all timelines and renewals are met
- Help maintain product and packaging archives for new market launches
- Process and track invoices and expenses related to expansion efforts
- Prepare internal reports and presentations using Google Slides or PowerPoint
- Coordinate travel, meetings, and logistics for expansion-related projects
- Serve as an extra set of eyes and ears for the Expansion Operations Manager – always thinking ahead and catching the small stuff before it becomes big stuff
PHYSICAL REQUIREMENTS
- Ability to work on a computer for 8+ hours/day
- Clear verbal and written communication skills
- Must be able to lift up to 25 lbs (occasional packaging samples or materials handling)
